Billing Specialist

Reports to: Procurement and Billing Manager

Goals and Outcomes: Ensures customer orders are accurate, providing support over the lifetime of the project, and invoices the customer at the time of completion.

Essential Functions:

  • Reviews customer orders, checking for completion and accuracy, before sending order to purchasing.
  • Actively communicates with sales and project management through the life of a sale, concerning delivery needs, and status of installation.
  • Processes change orders submitted by sales and project management, updating the sales order, and then communicating to purchasing if items need to be purchased.
  • Creates customer invoice ensuring accuracy of items sold, pricing, billing, and invoicing terms. Mailing the invoice out to the customer or submitting within customer portals as necessary.

CAD Technician

Reports to: Engineering Director

Goals and Outcomes:

Validating audio/visual designs and preparing them for successful installation, supporting the Design Engineer with CAD conversion of sketches into comprehensive system wiring and architectural coordination documentation.

  • Produce comprehensive system wiring and architectural documentation including signal flow

Customer Service Representative

Reports to:     Operations Center Manager

Goals and Outcomes:

The Unified AV Operations Center Customer Service Representative is responsible for high level customer communication, basic Tier 1 troubleshooting related to A/V equipment and data entry. Representative must be able to speak pleasantly and professionally under stressful situations with customers.

Essential Functions:

  • High volume Data entry
  • High volume Microsoft Outlook and Microsoft Lync/Skype
  • High volume phone interactions with customers
  • Case entry into Netsuite
  • Customer research into specific jobs for information related to service work needed
  • Monitors online case entries by customers

Design Engineer

Reports to: Engineering Director

Goals and Outcomes:

Designs an AV system solution that fulfills the use requirements of the customer. The solution will specify system capabilities as well as limitations. The DE supports the Sales team throughout the quoting process. During the project and closeout phase the DE provides project revisions and product implementation support to the technical team.

Essential Functions:

  • Accompany salesperson upon request on initial site visits to help determine the customer’s needs
  • Assist the sales person in constructing a preliminary scope of work (SOW) noting system capabilities and limitations based on customer’s stated objectives
  • Develop and provide sales with a complete bill of materials (BOM) based on the agreed SOW.
  • A system flow diagram based on the BOM will be created and saved into NetSuite.
  • A completed labor estimator saved to NetSuite.
  • DE to provide final design review.
  • DE will work with customer or contractor to provide an accurate infrastructure and network requirement needed to complete the AV installation. This includes but is not limited to power location and load, data connections, and IP addresses
  • DE will approve the rough signal flow diagram and release CAD to complete for construction drawings
  • DE will review the SOW and BOM with PM.
  • PM will confirm site conditions to the BOM and review any possible changes with DE.
  • DE will work through change orders as they develop throughout the project, making any necessary adjustments to project documents
  • Upon completion of project, DE will approve final drawings
  • Provide structural and MEP coordination.

Installation Technician

Reports to: Installation Manager

Goals and Outcomes:

The lead Technician (Level 2) is responsible for setting up, installing, operating, testing, and troubleshooting Audio/Video/Control and related equipment as well as manage/ supervise all field related operations. Also be responsible for mentoring/training UAVS Technicians working on their team.

Essential Functions:

  • Attend the Installation Turnover meeting with the Project Manager, so that all related information, Schedules and documentation is understood.
  • Verify all of the drawings, code, site pictures, and job description are complete and you have access to them.
  • Assemble and test equipment racks per the rack build schedule.
  • Ensure the equipment is programmed, configured and tested prior to onsite installation.
  • Make certain all cables, connectors, hardware and tools needed to complete the project are available and collected.
  • Maintain a clean an organized van with appropriate tools, ladders and safety equipment.
  • Inventory and deliver all equipment to the job site.
  • Complete walk through of the site with the PM and go over all details of the installation.
  • Verify working times and access to the workspace.
  • Install all AV equipment per UAVS documentation and standards.
  • Perform minor DSP changes and load control code as necessary.
  • Ensure that the job is completed to UAVS and industry standards for a safe and fully functional system.
  • Update project progress in Team Gantt at the end of each day.
  • Ensure that all equipment is connected per the drawings.
  • If the drawings are incorrect for functionality, mark the necessary changes accordingly.
  • Ensure that every wire has a label and it is marked according to the drawings.
  • Ensure that the trash is disposed of and the site is cleaner than it was when you arrived.

  • Submit all changes to CAD for as-built drawings.

Project Manager

Reports to: VP of Project Management

Goals and Outcomes:

Primary point of contact responsible for project implementation within the defined schedule, scope, and budget of the contract.  Clear, consistent, and frequent communications with all internal and external stakeholders.  Meet the dual goals of a high level of customer satisfaction and attainment of expected project margin. PM 2 level projects may cross multiple business units having stakeholders with diverse and conflicting needs; requiring integration of multiple applications or business processes; possessing high project visibility, impact, and risk; requiring complex reporting and communication at the agency, enterprise and executive levels. PM 2 will consistently complete projects on time and under budget.

Essential Functions:

  • Assignments will include higher profile, higher risk projects with multiple peer and subcontractors.
  • Engage in projects with highest degree of difficulty.
  • Lead the development and implementation of priorities within the project management office.
  • Cultivate contacts within industry and related fields— to obtain information about future developments in the functional area and to try to influence those developments in ways favorable to UAVS.
  • Participate in outside professional activities to maintain knowledge on developments in the field. Establish liaisons with companies, universities and other comparable vendor users to keep abreast of status of AV activities at these institutions.

Purchasing Specialist

Reports to: Procurement and Billing Manager

Goals and Outcomes: Ensures items are purchased from vendors in a timely and cost effective manner.

Essential Functions:

  • Works with warehouse to check inventory and determine when items need to be ordered. Making stock purchases when necessary.
  • Purchases needed items, checking vendor costs and proactively seeking opportunities to negotiate with vendors or to combine orders to reduce per item total cost.
  • Provides order status and tracking for vendor purchase orders, as requested
  • Determines when it’s necessary to return items, getting all Return Merchandise Authorization information, and communicates to Accounts Payable when to expect incoming credits.
  • Provides backup support to receptionist.

Sales Consultant

Reports to:     Vice President – Sales

Goals and Outcomes:

Increase UAVS’s business in assigned market and/or clients by effectively managing key accounts and prospects and offering assigned clients a value-added UAVS resource for their organizations.

Essential Functions:

  • Represent and act as primary UAVS sales contact in an assigned market.
  • Respond to all client requests in a timely fashion engaging the necessary resources.
  • Periodically meet with clients to review project requests and client initiatives.
  • Create opportunities in NetSuite, attaching site surveys, RFPs, photos, etc.
  • Coordinate & communicate client needs to Engineering to develop system designs, labor costs and approach to the project.
  • Interface with key manufacturing partners to confirm project registration discounts & negotiate special pricing for client opportunities.
  • Provide comprehensive project proposal and present the solution(s) to the client.
  • Create sales orders in Netsuite from client purchase orders, confirming SO matches client PO.
  • Schedule project turnover meetings with Project Manager (include Engineering & Purchasing).

Service Coordinator

Reports to:     Service Director

The Unified AV Service Coordinator is responsible for customer communication, data entry, billing, parts ordering and RMA’s. Suitable candidates must be able to speak pleasantly and professionally under stressful situations with customers.

Essential Functions:

  • High volume Data entry

Service Technician

The Unified AV Service Technician (Level 1) is responsible for operating, testing, and troubleshooting Audio/Video/Control and related equipment.

Essential Functions::

  • Ensures all needed info is obtained prior to going on-site.
  • Keep all manuals and miscellaneous parts organized on service vehicle.
  • Maintain a clean an organized van with appropriate tools, ladders and safety equipment.
  • Complete service call resolution details in Netsuite Service Case and be responsible for communication to the Opcenter for any return visits needed.
  • Communicate with Opcenter and Service Coordinator of any needed parts for service call.
  • Ensure any RMA’s or serial#’s related to service calls are notated in Netsuite Service Case.
  • Ensure that the service call is completed to UAVS and industry standards for a safe and fully functional system by testing equipment and verifying functionality at the end of the visit.
  • Update Service Case in Netsuite at the end of each day with related notes and progress.
  • If any defective equipment is discovered during the service call, technician will open a service ticket with manufacturer to begin the RMA process. Email copy to Opcenter and Service Coordinator.
  • Takes initiative to take additional training as needed to adapt to working on various products.
